Productivity System to Get More Done

Here are the “Productivity System” Steps…
- Brain dump ALL the things you want or need to do…
- Personal to-do’s
- Work to-do’s
- Family & housework to-do’s
- Social to-do’s
- Daily basics
- Organize that list into 3 categories:
- “Someday:” Not urgent tasks, but things you WANT to do at some point
- “Top Priority:” Tasks that move you closer to your top 1-2 goals & should be done THIS WEEK to avoid consequences or delaying your goals
- “Soon:” Tasks that don’t NEED to be done this week, but should be done within the next month or so.
- “Daily:” Tasks you want to do daily or a certain number of times per week (IE “Exercise for 20-minutes”)
- Turn your business tasks into RESULT-BASED activities
- Rather than just listing to-do’s like “Post,” shift your business tasks to trackable result-oriented activities…
- For example, “Pitch myself to a podcast.” or “Follow up with 3 warm leads.”

- Create your weekly list
- From your “Top Priority” List, select the MAIN things that must be done this week & break down the “to-do’s” into tasks that will take 30-minutes or less.
- Be sure your “To-do’s” are something you can clearly check off instead of being VAGUE in the description of the “To-Do.” (ie Don’t write “Edit website”… Be more specific… Example: “Edit Website Bio Section”)
- List your “Daily Basics” separately at the top of your weekly list page.
- See obligations and appointments you already have for the week & block them out in your calendar.
- Go back to your weekly list and see what you might need to be removed given your obligations and appointments this week, or see if you want to remove any of your “obligations.”
- Plan your day
- In the morning, write a “WISH LIST” of everything you’d LIKE to do today from your “Weekly To-Do’s List”
- Then, look at your appointments and obligations, travel time, meal time, etc. for the day.
- See what from your “WISH LIST” is top priority & can make it into the current day realistically.
- I recommend picking a minimum of 2 of your “30-min tasks” on your list for your business & time batching when you’ll be able to do them.
- Time batch your day
- Plan “extra time” for tasks, meetings running late, etc.
- Plan where each task will fit into your day.
- Have a time each week that will dedicated “Buffer Time”
- Knowing that every day won’t be perfect, have a time each week you call “Buffer Time” during which you can do any tasks that didn’t get done when they were supposed to for the week. I find Sunday late afternoons or evenings are a good time for “Buffer Time.”
- Track & Refine
- Learning how you work best is a PROCESS. Take time to reflect on the questions below…
- What’s working?
- What did I accomplish this week?
- What do I want to improve or “level up” next week?
- What do I want to do MORE of next week?
- What do I want to do LESS of next week?
